A useful completion pack identifies what was inspected, what was cleaned, which method was used and which sections could not be accessed or completed.

Four stages

Plan the evidence before cleaning begins.

The exact record depends on the service, access and contract. These stages provide a practical structure.

Survey record

System references, access points, observed condition and proposed scope.

Work record

Completed zones, cleaning method and any approved changes to the plan.

Visual evidence

Images or video from agreed locations, identified by system and zone.

Completion record

Certificate, joint completion note, limitations and recommended next actions.

Visual verification

A photograph is useful only when its location is clear.

Images should identify the system, zone and inspection point. When possible, the same location should be shown before and after cleaning. Representative evidence must not be presented as proof of sections that were not inspected.

Quality checks

  • System and zone are identified
  • Images are clear and relevant
  • Completed sections match the scope
  • Inaccessible areas are recorded

A certificate records service completion. It is not a regulatory approval.

The completion certificate relates only to the agreed service scope and recorded date. It does not replace an authority inspection, equipment maintenance, air balancing, indoor air quality testing or the facility’s legal obligations.
